We are looking for a candidate who is self-motivated and demonstrates the ability to work with enthusiasm as part of a growing HR team. Candidates must possess the ability to manage priorities, working accurately to deadlines in a busy and pressurised HR environment.

Job Description

To be a first point of contact ensuring the smooth running of all HR administrative activities, supporting all business areas across 12 sites and Head Office. You will undertake a variety of HR Assistant duties by assisting with day to day operations of the HR functions. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. Ultimately, you’ll ensure our HR department is organized and operates smoothly to attract, hire and retain our employees.

Key Responsibilities (not limited to):

  • To provide general administrative support including the preparation of routine documentation, not limited to but including issuing of offer letters, contracts of employment, changes to terms of employment, starters and leavers, references, and other employee related paperwork.
  • Acting as a first point of contact for dealing with correspondence and phone calls, actively communicating with Managers and internal stakeholders as and when required.
  • Handle complaints and grievance procedures and advising managers on company policies.
  • Following up on probationary reviews/reminders.
  • Compile and update employee records as well conducting mandatory audits adhering to CQC requirements. 
  • Preparing payroll accurately inputting data onto the payroll spreadsheet in a timely manner, providing supporting documentation and responding to any payroll queries.
  • Supporting on first stage absence and / or disciplinary meetings, as note taker and offering first line advice.
  • Assist with recruitment support and administration including preparation of adverts, arranging interviews, processing references and DBS checks.
  • For all new starters ensuring relevant paperwork is collated and staffing list are updated.
  • Responsible for inputting data accurately into SharePoint / Personnel system, ensuring that employee records are kept up to date.
  • Prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc). 
  • To manage incoming absence calls and update HR tracker, including absence administration and co-ordination of absence reports.
  • Producing relevant KPI reports ready for presentation to senior management and directors.
  • Responsible for inputting data accurately into SharePoint, updating personnel files and managing new starters and leavers.
  • Processing and sending out exit questionnaires and leavers letters.
  • Managing the HR inbox ensuring enquiries and questions are dealt with promptly.

 

Essential Knowledge, Skills, Proven Ability or Role Specific Qualifications required:

  • Minimum 2 years Administration experience
  • 1-year HR or Recruitment Administrator experience (desirable)
  • Strong administration skills and experience
  • Advanced knowledge of Excel
  • Excellent and accurate note taking skills
  • Confidence to challenge and suggest better ways of working / continued improvement
  • Excellent communication skills – written and verbal
  • Excellent attention to detail - essential
  • Approachable and friendly
  • Confident and positive, with a ‘can do’ attitude
  • Professional manner and behaviours, including appreciation of the confidential nature of the department.
  • Team Player – willing to step in and support colleagues at peak times, with flexibility to meet the needs of the business
  • IT skills; Microsoft Office, Outlook, Excel (essential) HR Systems (desirable)
  • CIPD Level 3 (desirable)
