They are looking to recruit a Purchasing Assistant to join their team in Aberdeen.

The Company:

Job Purpose:

Reporting to the Purchasing Team Leader the Purchasing Assistant is to provide support to the company supply chain process, Purchasing department Westhill. They will assist Stores/Accounts with queries relating to outstanding invoice queries.

This is a varied role best suited to those who enjoy a challenging, deadline orientated work environment.

Principal Accountabilities:

To deliver high quality information, ensuring vendors are meeting delivery requirements and building robust relationships within the team and business.

Assist in all administrative functions to support the Purchasing function within company supply chain process.

·       ERP system administration, data entry.

·       Expediting of company purchase orders.

·       Raising and placing purchase orders, obtaining price and delivery for commercial items where necessary, gather approvals, raise and issue purchase orders to suppliers in a timely manner.

·       Issue enquiries, expedite and collate multi-vendor quotations.

·       Responsible for raising PO’s for various manual requisitions and special purchases.

·       On occasion, manage the process for items being returned to suppliers due to non-suitability.

·       Ensure high level of communication with those expediting, use of order/delivery notes in Glovia.

·       Liaise regularly with JFD Stirling facility, processing PO’s as required.

·       Identify and communicate supplier delivery performance problems to department Team Lead/Manager.

·       PO archiving, document preparation & general administrative support.

·       Working with Finance to match deliveries with invoices/reconcile queries.

·       Providing accurate and timely reporting of order statuses and cost savings.

·       Attend team meetings and company training sessions as scheduled.

·       Variety of non-routine duties, includes holiday cover, as assigned by Team Lead/Manager.

 Knowledge, Skills & Experience:

·       Focused on delivering to tight deadlines and changing requirements.

·       Excellent written and verbal communications skills.

·       MS Office / Computer skills are essential.

·       Standard Grade Level 3 or above, SVQ/HNC in Business Administration (preferred but not essential).

·       Experience in a similar role preferred, but not essential.
