Job Purpose:

The Sales & Operations Administrator role encompasses various activities within ScanTech and to work closely with the sales and operations departments. The purpose of the role is to provide general administration, document review and handling, data input and cleansing and staff travel arrangements, , and using the database to record purchase orders , delivery notes and offshore personnel holiday schedule.

Principal Accountabilities:

General duties and responsibilities include, but are not limited to:

Operations:

  •  Manage company UK staff house
  •  Make appropriate travel and transport arrangements, ensure personnel have correct details
  •  Process visas for all staff
  •  Data inputting and data cleansing for the operations team
  • Raising and monitoring purchase orders across the business
  • Answering telephone switchboard, maintain a friendly and professional presence.    
  • Participate in out of hours rota
  • Coordinate offshore bonus payments
  • Ensure all job documentation is correctly filled
  • Coordinate holiday requests for offshore operations, office staff and sales team along with updating annual leave tracker.
  • Manage survival, offshore medical and internet training for offshore staff

Any other delegated responsibilities as instructed by Line Manager within the timeframe specified, safely and efficiently to meet business requirements, provided the instruction is reasonable and you are deemed competent to fulfil these. Sales:

  • Organise and book sales team travel arrangements.
  • Maintain stationary supplies as appropriate. Coordinate marketing merchandise shipping for exhibitions to support the sales team. Attend and take meeting minutes as required.
  • Organise and book sales team travel arrangements
  • Assist in the upkeep of the sales tracker & other sales related documents
  • Monitor and distribute enquiries to sales team
  • Assist in the organisation of monthly and quarterly sales meetings 
  • Raise all sales related purchase orders

Knowledge, skills & experience:

Experience with Microsoft packages (Word, Excel, Powerpoint)

This role would suit someone with previous experience of office administration who is self-motivated and who is used to handling multiple tasks.
