Job Description – Administrative Assistant 

HR 

  • Coordinate all aspects of administration of recruitment including scheduling, contacting candidates, references and regulatory checks for DBS process.
  • Responsible for arranging and facilitating interviews and other assessments in conjunction with the School Business Manager.
  • Support the on boarding process of newly appointed staff including staff induction day.
  • Ensure all new starter documentation is accurate and complete and relevant databases are up to date.
  • Undertake administration to support the employee lifecycle, including induction, probation and leavers processes.
  • Administer the HR Management systems as directed by the School Business Manager.
  • Administer the Single Central Record database.
  • Maintain the personnel files and archiving system. 

Finance 

  • Support the Finance Team with the operation of the school finance system, including orders and invoicing, manual journals and petty cash.
  • Support the Finance Team with school trips, events and activities and liaise with organisers, parents and students regarding any queries relating to a trip or activity
  • Support the administration in relation to the School Cash Office; receive, count and record monies paid in for school trips, text books and miscellaneous sales
  • Responsible for the administration of the cashless system including distribution of correspondence for online registration and support the fingerprint registration process.
  • Count and administer monies received from School events and the cashless system.
  • Obtain appropriate signatories from budget holders when processing orders and invoices.
  • Collate and input the monthly timesheets / overtime records in line with Central deadlines. 

General 

  • Provide administrative support to the School Business Manager as directed.
  • Undertake administration to support the School’s Health & Safety regulatory and statutory obligations.
  • Support and assist with school Inset days including planning and preparation.
  • Take minutes of meetings as required including Joint Use and Staff Wellbeing Groups.
  • Provide reception duties when cover is required and cover in other areas of the Support functions where necessary.
