Administration Assistant

Full time

NJC points 8-12 £19,945 - £21,589 per annum

Temporary to 31st August 2020

We are looking to appoint a talented, flexible and highly organised Administrative Assistant.

Working with the Derby Research School and Maths HUB Coordinator you will be required to carry out the following duties.  The role will be split as 2 days for the Maths HUB and 3 days for the Research School.   This is a temporary appointment until 31st August 2020, but this role may be extended if funding is continued.  

The nature of the Trust Year requires some of these tasks to be done regularly whilst others will be on an annual cycle.   The post holder will be expected to use all Trust standard computer hardware and software packages where appropriate. Specific responsibilities include:

Administration

  1. Provide day-to-day administrative and clerical support to both leads to ensure the smooth running of the organisations
  2. Support with the management of events for both the Research School and Maths HUB, for example sending emails to delegates for upcoming events, ensuring dietary requirements are shared with catering and overall diary management. This may also involve supporting events hosted at different sites and starting work earlier or later where needed and where possible.
  3. Undertake database management for attendees at Maths HUB and Research School events
  4. Photocopy resources to prepare for events so that programme leads and facilitators can complete their roles
  5. Support with the promotion of Maths HUB and Research School events, for example sending letters to school and creating flyers for programmes
  6. Support with the budget management of both arms by maintaining appropriate records, including invoicing information for the Research School from event bookings
  7. To ensure that all queries are dealt with efficiently and appropriately
  8. Assist with internal and external meeting arrangements, including room and catering booking, preparation of agendas and papers, distribution of appropriate papers, and minute taking as required
  9. Operate and maintain relevant equipment and ICT software packages e.g.; SIMs, Word, Excel, Email, Texting service
  10. Undertake filing and scanning for the team as needed
  11. To undertake any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the job

General

  1. Work in a professional manner and with integrity and maintain confidentiality of records and information
  2. Maintain up to date knowledge in line with national changes and legislation as appropriate to the role
  3. Be aware of and comply with all Trust policies including in particular Health and Safety and Safeguarding
  4. Participate in the Trust Appraisal process and undertake professional development as required
  5. Adhere to all internal and external deadlines
  6. Contribute to the overall aims and ethos of the Spencer Academies Trust and establish constructive relationships with nominated Academies and other agencies as appropriate to the role
