Job Title:                  Administrative Assistant

Responsible to:      Office Manager

Grade:                       Grade 2


Purpose of the post:


To assist with the daily clerical and reception functions and to provide first aid for students


Key Duties / Responsibilities


  1. To act as first point of contact on reception for visitors to the academy and those making contact by telephone.
  2. To ensure that all visitors are signed in and issued with a visitor’s pass.
  3. To receive, sign for and distribute post coming in, and record all outgoing post.
  4. To carry out general clerical duties including the use of Microsoft Word and Excel.
  5. To attend to minor student illnesses / first aid.
  6. To ensure the security and appropriate issue of student medicines retained in the academy.
  7. To contact parents / carers regarding the welfare of their child in the case of illness / accident.
  8. To check that students signing out have permission to do so.
  9. To access student records and respond to queries from students and staff.
  10. To assist with the arrangements of academy services including:
    • Injection days
    • Medical records
    • Free School Meals
    • Contributing to the welfare of students
  11. To maintain and update student care plans, liaising with the appropriate staff and agencies.
  12. To update student records as required.


To deputise for other administrative staff, in their absence, when required.


To take part in safeguarding training and INSET days to improve your own skill and to work with colleagues to improve the operation of the academy administration team.


Any other administrative duties commensurate with the grade of the post as directed by the Principal.
