Job Description – PA to the Head of School/Administration Support Officer
Reports to: Head of School
Job Purpose
To provide professional administrative support to the Head of School and School Leaders to ensure the efficient and effective running of the school on a day-to-day basis.
Core Responsibilities
- To act as first point of contact for the Head of School, responding professionally to external and internal communications as an informed and effective gatekeeper
- To maintain the Head of School’s diary and ensure that he is appropriately briefed in advance of any meetings
- Identify priority correspondence and use own judgement to make initial responses, consulting and following up correspondence as appropriate and whilst always maintaining appropriate degree of confidentiality.
- Meet and greet visitors and ensure that all are welcomed into school in a professional manner that is in keeping with the school’s ‘work hard, be kind’ philosophy.
- Draft letters and documents on behalf of the Head of School along with production of typed correspondence, taking dictation as required.
- Collate, print and summarise papers and reports to ensure the Head of School is in possession of all relevant background information needed to assist in decision-making processes.
- Undertake printing, scanning and photocopying tasks as required by the Head of School.
Wider School Support
- Provide administrative support to School Leaders by drafting letters and documents on their behalf, taking dictation as required.
- Undertake printing and photocopying tasks for School Leaders as required
- Support the general administration functions of the school by carrying out tasks in relation to school trips and events.
- Provide cover for School Receptionist / Front Office staff as directed by the HoS or School Manager.
- Undertake relevant training to develop own capacity and to meet the scope and demands of the role (e.g, suitably qualified may undertake additional training to enable them to act as Clerk to the Governors and/or Educational Visits Coordinator - EVC)
