Bistrotheque Events at The ICA launched in summer 2023 and is a fast-paced events driven company. The events will range from corporate events, weddings and parties to product launches and fashion shows, and will be predominantly located in the Regency Style Grade I Nash and Brandon Rooms and the Upper Galleries of the Institute of Contemporary Arts (ICA).
The ICA is seeking a Technical Supervisor (Hires) to support and facilitate our busy commercial events calendar. Following a series of renovations to the Nash and Brandon Rooms and Upper Galleries in 2023, Bistrotheque Events at ICA will expand its business in 2024, delivering a busy portfolio of weddings, conferences, parties, dinners, fashion shows, product launches, talks, wine tastings, photo and film shoots, and much more throughout the year.?
The Technical Supervisor (Hires) will sit within the Bistrotheque at The ICA team, which consists of a team of 3 - Events Director, Sales Manager and Events Coordinator - as well as working closely with the ICA’s Technical Manager and technical team, the ICA’s pool of freelance Technicians, and the ICA’s Building and Operations Management teams. The Technical Supervisor (Hires) will be the first point of contact for all technical and production enquiries from the Bistrotheque team, external clients and incoming production companies. They will be responsible for developing and implementing improved technical booking and billing processes, and for speccing, updating and maintaining technical equipment. They will also regularly support Hire events as a Duty Technician, with the support of Freelance Technicians when required.
The responsibilities of the Technical Supervisor (Hires) will include:

To spec & scope any additional tech required for the Upper Galleries and Nash & Brandon Rooms, in addition to what is already in place.

Research and source the most appropriate & cost-effective kit for these spaces.

Oversee the purchase / hire and install of this kit in the designated spaces.

To inventory and maintain existing tech hires kit.

Develop a hires tech package for the spaces.

Develop a tech questionnaire or production process for Hires.

Develop a technical rate card for Hires.

Hybrid working on-site at the ICA and working from home.

Act as the point of contact for all hire production enquiries (internal & external).

Work closely with the Bistrotheque team and Event Supervisors and other in-house teams to deliver events to the highest possible standard.

Be responsible for costing and supplying tech quotes for hires.

Be responsible for coordinating technical sub-hires.

Work collaboratively with incoming production teams for events to ensure get-ins / get-outs and events run smoothly

To ensure that all relevant H&S procedure is adhered to (RAMS, CDM etc).

To act as Event Technician for straightforward hire events. To work with the Executive Producer to book freelance Technicians for events and to oversee their work when required.

To attend regular Technical and other meetings as required by the ICA’s internal meeting schedule.?

On occasion, to act in a Duty Tech capacity for the wider ICA, setting up TV monitors, video conferencing facilities etc.

To undertake training as required.?

To undertake any other duties which may reasonably be required and as directed by the Nash House Manager and ICA Technical Manager.

The role is contracted on a 40-hour per week basis. The ICA operates on a 7-day week and evening and weekend work may be required by the role.

Hours beyond a 40-hour week may be taken as TOIL or paid at an overtime rate.
